How we collect, use, and protect your data — and your rights regarding it.

1. Overview

This Privacy Policy describes how Odin Help (“we”, “us”, “Odin Help”) collects, uses, and protects information you provide when you visit our website, sign up for an account, or use the Odin Help platform. We treat customer data as a custodian, not an owner.

2. Data we collect

We collect three categories of data:

  • Account data — name, work email, company name, role, and password hash supplied when you sign up.
  • Operational data — tickets, scripts, RMM telemetry, contracts, time entries, and other content you create inside the platform. This data is yours; we are a custodian.
  • Usage data — pages visited, features used, performance metrics. Used to operate and improve the product.

3. How we use data

We use the data above to:

  • Operate the platform you have signed up for.
  • Send transactional emails (receipts, security alerts, ticket replies).
  • Provide customer support when you contact us.
  • Improve product performance and reliability.
  • Comply with legal and regulatory obligations.

We do not sell your data. We do not train AI models on your operational data. We do not share your data with third parties for advertising.

4. AI features and model training

Odin Help’s AI features (Copilot, Assistant, ticket summary, script generation) process your prompts and content to produce outputs back to you. We commit that:

  • Your prompts and content are not used to train our models or any third party’s.
  • Each tenant’s prompts and context are isolated; no cross-tenant data leakage.
  • Every AI assist and AI-driven action is recorded in your audit log.

5. Storage and security

Data is stored on infrastructure managed by Amazon Web Services in the United States. We follow least-privilege IAM, encrypt data at rest and in transit, and apply per-tenant scoping on every read and write. SOC 2 Type II evidence is available to enterprise customers under NDA.

6. Sub-processors

We use a small set of sub-processors to operate the service. Current list, available on request:

  • Amazon Web Services — hosting and storage.
  • Stripe — payment processing.
  • Splashtop — optional remote access integration.
  • Email delivery (transactional only).

7. Your rights

You have the right to:

  • Access the data we hold about you.
  • Correct inaccurate data.
  • Delete your data (subject to legal retention requirements).
  • Export your data in a portable format.
  • Withdraw consent at any time.

To exercise any of these rights, email privacy@odinhelp.com. We will respond within 30 days.

8. Cookies

We use a minimal set of first-party cookies — session cookies for authentication and a preference cookie for the marketing-site audience toggle. We do not use third-party advertising or cross-site-tracking cookies.

9. Changes to this policy

We will notify customers by email and update the “Last updated” date below before any material change to this policy. Continued use of the platform after notice constitutes acceptance of the revised policy.
